Who decides whether delivery was acceptable?
A PromoSlot reviewer checks the submitted evidence against the accepted terms. If something is missing, the platform owner is given the chance to resubmit before any decision closes the deal.
Can terms change after both sides approve?
Only by agreeing a new version. Any counter-offer is recorded, and funding is always tied to the version both parties last approved.
What happens if the work is never published?
The deal cannot be verified, and eligible funds are returned to the business under the accepted terms.
Does PromoSlot choose who works with whom?
No. Businesses and platform owners find each other in the Marketplace and agree their own terms. PromoSlot records the agreement and reviews delivery.

When is a fee charged?
Only once a deal is completed. The buyer protection fee sits in escrow from the moment a deal is funded, but PromoSlot doesn't keep it and doesn't treat it as charged until the deal actually closes. There is no subscription, no listing fee and no charge for messaging or negotiating.
What happens to fees if a deal is returned?
Where eligible funds are returned under the accepted terms, the buyer protection fee is treated in line with the published refund policy for that outcome.
Are the figures here the same as at checkout?
Yes. The percentages shown are the ones applied in the product, and each side sees only the amount relevant to their position in the deal.
Funds are held until delivery is verified.
PromoSlot holds the funded amount from the moment a deal is agreed, and only releases it once a reviewer has checked the submitted evidence against the accepted terms.

Priced on performance settles a little differently.
A fixed-price deal is always all-or-nothing: paid out in full, or refunded in full. A deal priced per view or per impression works the same way underneath: held, then verified, then settled. But because the final number isn't known until the campaign has actually run, the release itself works differently.
In practice: fund a campaign for up to 50,000 views at 10p per 1,000, and if a reviewer verifies 32,000 were actually delivered, the platform owner is paid for 32,000 and the business is automatically refunded for the other 18,000, fee included. Nobody has to ask for it.
If a reviewer needs a little longer
Views and impressions are the one thing a reviewer can't always confirm from a single screenshot. If the evidence submitted looks like it might understate what was actually delivered, a reviewer can open a 24-hour window inviting the platform owner to add more proof, like an updated analytics screenshot, before the deal is finalized. Both sides are notified the moment this happens, in-app and by email.
If nothing more comes in before the window closes, the deal is still settled, just on the evidence that was actually submitted, never on a reviewer's private guess at the real number. This is a routine check on a claimed figure, not an accusation, and opening one doesn't affect a platform owner's standing on its own. It's only when evidence turns out to have been deliberately faked or altered, not just incomplete or mistaken, that it becomes a conduct issue with real consequences, up to account suspension. An honest gap is simply what the grace period exists to close.

Every platform sells a slightly different thing. A newsletter sells a send; Discord sells a position in a room; TikTok sells a piece of content that may or may not travel. The formats below are the ones platform owners list on PromoSlot, so they map onto the deliverables and payment models you will see in the Marketplace.
Use the left column to decide what you want published. Use the right column to turn that format into terms a reviewer can check: a format, a place, a duration, and a named piece of evidence.
If a platform owner offers a format that is not on this list, that is fine. Write it into the terms the same way. What matters is that both sides could point at the finished thing and agree it is what was bought.

PromoSlot supports seven payment models, and picking the wrong one is how a reasonable deal turns into an argument. Start from what you are buying rather than from what you would prefer to pay.
What is held when the deal is funded
Funding always holds a real amount up front. Which amount depends on the model, so a model with nothing guaranteed also has nothing escrowed.
A deal can carry more than one model: a guaranteed fee for the post plus an affiliate rate on sales it drives, for example. Each one still needs its own numbers and its own evidence.
03Things to look for beyond the listingWhat five minutes on their real profile can tell you that the listing page cannot
A listing is written to be read on its own, but the creator behind it is not the listing. They're an account with a public history you can go and look at yourself. Before you fund anything, spend five minutes on the actual platform they will publish to. Most of what decides whether an offer will land is sitting there in plain view, for free.

Almost every dispute traces back to a single sentence that two people read differently. Terms are fixed at the version both sides accept, and a reviewer can only check what those terms actually named. That makes the brief the thing being bought, not paperwork.
Six things every brief should name

The deliverable, one line each
A format plus a length or size. Two deliverables are two lines, never one sentence with an "and" in it.

Where it is published
The exact account, channel or send, not just the platform. A pinned message in one channel is not the same product as an announcement to the whole server.

When
A date window and a time band, in one named timezone.

How long it stays live
The measurement window runs from publication, so say when it ends. "Permanently" is also an answer, and worth paying more for.

What may not be changed
Caption, code, link, claims. Name what is fixed, and say plainly that everything else is the partner's own voice. That sentence prevents more arguments than any other.

What evidence settles it
Which screens, on which days. If a figure decides the payment, name the screen the figure is read from.
If the partner disagrees with any of it, they counter-offer and you accept a new version. Recording the disagreement before publication costs one message; discovering it afterwards costs the campaign.
05Why niche beats reachAn opinionated case for audience fit over follower count, and when reach genuinely wins
Reach is something you can buy. Fit is not, which is exactly why it is underpriced.
A general lifestyle account with a very large following and a small forum devoted to one hobby can cost about the same for one placement. The lifestyle account will show your product to more people. The forum will show it to more people who already have the problem your product solves, and who are already in the habit of comparing solutions to it.
There is nothing mystical about why the second one converts better. A recommendation in a niche space arrives with context: from someone the audience treats as knowledgeable about this specific thing, next to other conversations about the same specific thing, at a moment when the reader is already thinking about it. The same words in a general feed arrive as an interruption.
Niche audiences also let you be more honest, which is a commercial advantage rather than a moral one. You can say who your product is not for, name the trade-off against the obvious alternative, and quote a real price, because the audience is knowledgeable enough to be reassured by specifics rather than bored by them. That kind of copy does not survive contact with a general audience, and it is usually the copy that sells.
Reach does win in some cases: a genuinely mass-market product, a category most people do not know exists yet, or a launch built around one creative asset you want as many people as possible to see once. If that is your situation, buy reach deliberately and measure it as awareness. What does not work is buying reach because the number looked impressive, and then judging it on sales.

One more practical note: fit compounds and reach does not. A niche audience that sees you three times over a quarter starts treating you as part of the furniture of their interest. The same spend split across three unrelated large accounts buys three first impressions.

Reference rather than reading. These are the terms that carry a precise meaning inside the product.
- Accepted terms
- The version of the deliverables, dates, payment model and evidence requirements both sides approved. Funding and review are always tied to this version.
- Buyer protection fee
- 5%, paid by the business and held together with the payment from the moment a deal is funded.
- Campaign
- A business's public brief in the Marketplace. Platform owners apply to it.
- Counter-offer
- A recorded change to proposed terms. It creates a new version to accept rather than editing the previous one.
- Deal
- One agreement between a business and a platform owner, from accepted terms through to release or return.
- Deliverable
- One named piece of work: a format, a place, a duration. Everything a reviewer checks maps back to a deliverable.
- Evidence
- The links, screenshots and analytics submitted to show the agreed work was published as described.
- Funding
- Taking and holding the payment before delivery is expected to begin. Held funds do not reach the platform owner until delivery is verified.
- Listing
- A platform owner's public offer in the Marketplace: what they will publish, for whom, at what price.
- Measurement window
- The period an agreed figure is counted over, running from publication. It is named in the terms rather than assumed.
- Payment model
- How the amount is calculated: fixed, per view, per impression, time-based, affiliate, hybrid or custom.
- Payout
- The released amount reaching the platform owner, less the seller fee.
- Release or return
- The two outcomes of review. Verified delivery releases funds; where conditions were not met, eligible funds return to the business under the accepted terms.
- Reviewer
- The person at PromoSlot who compares submitted evidence against the accepted terms and records the decision.
- Seller fee
- 10%, deducted from the platform owner's payout when a completed deal is released.
- Verification
- The check that a platform owner controls the account they have listed. Required before a listing can transact.

When a buyer funds a deal, the money leaves their account and enters escrow. It does not reach the seller. It sits there, unavailable to both sides, until a reviewer has checked submitted evidence against the terms both parties accepted before funding.
There is no fourth state. Nothing sits in limbo indefinitely and nothing is settled by whoever argues hardest.

1. Who we are
PromoSlot is operated by PromoSlot Ltd, a company registered in Scotland under company number SC899931, with its registered office at 8B Drumsheugh Gardens, Edinburgh, EH3 7QJ ("PromoSlot," "we," "us"). This address is expected to change later in 2026. This page will be updated when it does.
PromoSlot is a marketplace connecting businesses ("Business," "Business Owner") with platform owners and content creators ("Platform Owner") for promotional campaigns, and holds funds pending verification until agreed work is delivered and confirmed.
2. Acceptance of these terms
By creating an account or using PromoSlot, you agree to these Terms of Service, our Privacy Policy, and our Refund Policy. If you don't agree, don't use the platform. We may update these terms from time to time (see Section 16).
3. Eligibility
You must be at least 18 years old and able to form a binding contract to use PromoSlot. If you're using PromoSlot on behalf of a company, you confirm you have authority to bind that company to these terms.
You also confirm that you're not subject to UK financial sanctions and aren't located in, or acting on behalf of someone in, a country subject to comprehensive UK or UN sanctions. Our payment processor (Stripe) independently screens accounts as part of its own compliance obligations, and PromoSlot may suspend or terminate an account where required by law.
4. Accounts
- You're responsible for keeping your login credentials secure and for all activity under your account.
- You must provide accurate information when registering and keep it up to date.
- PromoSlot may suspend or terminate accounts that provide false information, violate these terms, or are used fraudulently.
5. How PromoSlot works
- Business Owners create campaigns describing what they want promoted, the deliverables expected, and the payment terms offered.
- Platform Owners list their platforms/audiences and apply to campaigns, or respond to direct quote requests.
- When both parties agree on a deal, the Business Owner pays the agreed amount, which PromoSlot holds pending verification via our payment processor (Stripe) until the deliverable is submitted and verified.
- Once delivery is verified, funds are released to the Platform Owner, minus PromoSlot's fee.
PromoSlot is a marketplace that holds funds pending verification on behalf of both parties. We are not a party to the underlying agreement between Business Owner and Platform Owner regarding the promotional work itself, except as set out in our fund-holding, verification, and dispute processes below.
6. Fees
- Seller fee: PromoSlot deducts a 10% fee from the amount paid out to the Platform Owner upon successful completion of a deal.
- Buyer protection fee: PromoSlot adds a 5% fee on top of the agreed price, charged to the Business Owner at the time of funding.
- Fees are only charged when a deal completes and funds move. Creating an account, publishing a listing, or publishing a campaign is free.
- If a deal is refunded rather than completed, the Business Owner is refunded in full, including the buyer protection fee. PromoSlot does not retain any fee on a refunded deal. For a fixed-price deal, delivery is either verified and paid out in full, or refunded in full. There is no partial payout. For a per-view or per-impression deal, the pooled portion of the price settles once, after the agreed campaign period ends: PromoSlot pays out for whatever quantity was verified and refunds the unused rest of the pool, including a matching share of the buyer protection fee on that unused portion. See Section 8A.
- Businesses and Platform Owners are responsible for their own tax obligations arising from amounts paid or received through PromoSlot. PromoSlot doesn't withhold tax or provide tax advice.
6A. Affiliate Program pools
- In the Affiliate Program marketplace, a Business Owner pre-funds a pool budget for a campaign rather than agreeing a price with an individual Platform Owner. PromoSlot charges the pool budget in full, plus a funding fee, in a single payment at the time the Business Owner funds the program.
- Platform Owners apply to join a live program and, once approved, are issued a discount code by the Business Owner. Each sale tracked against that code earns commission at the rate the Business Owner set, drawn from the pool.
- The pool only ever pays out for tracked, cleared sales, capped at the funded budget. Whatever part of the pool is not committed to a cleared sale by the time the program is settled, including where no Platform Owner ever joined the program or no sale was ever tracked, is refunded to the Business Owner in full, together with a matching share of the funding fee charged on that unused portion. PromoSlot does not retain any fee on the refunded portion of a pool. See our Refund Policy, Section 4B, for how this refund is calculated and when it's issued.
- If the Business Owner refunds or cancels an order with the buyer, the Platform Owner's full commission on that sale is reversed, even where the refund was only partial. Commission is not reduced in proportion to the refunded amount.
- PromoSlot may suspend an Affiliate Program (freezing new applications, tracked sales, and settlement, without affecting funds or partners already in the pool) or, where the program has never been funded, remove it, under the same moderation standards that apply to listings and campaigns elsewhere on PromoSlot.
7. Payments and funds held pending verification
- All payments are processed by Stripe. PromoSlot does not store your card details.
- Funds paid by a Business Owner are held pending verification until the deliverable is confirmed as complete, or until a refund is issued under our Refund Policy.
- PromoSlot is not a bank and does not pay interest on funds held pending verification.
8. Deliverables and verification
- The specific deliverables, timelines, and approval requirements for each deal are set out in the campaign or listing terms agreed by both parties.
- Delivery evidence is submitted through the platform and reviewed before payout is released.
- Verification is a deliberate, human decision made by a PromoSlot reviewer looking at the submitted evidence against the agreed terms. It's never automatic, and never made by either party to the deal themselves. For a fixed-price deal, a reviewer either approves the delivery in full (releasing the full payout) or refunds the Business Owner in full. There is no partial release. For a per-view or per-impression deal, see Section 8A.
8A. Per-view and per-impression deals
- A deal can be priced per view, per impression, or on a fixed price, or combine a fixed floor with a per-view/per-impression rate on top, agreed between both parties before funding. The rate is always a whole number of pence per a whole number of units (for example, 10p per 1,000 views), fixed at the point of agreement.
- When such a deal is funded, PromoSlot charges and holds the fixed floor (if any) together with the full maximum budget for the per-unit portion, plus the buyer protection fee on both, in a single payment.
- The campaign period is agreed in days at the point the deal is created, but only starts once the deal is actually funded. Time spent waiting for approval or payment is never counted against it.
- Unlike a fixed-price deal, a per-view/per-impression deal settles once, after the campaign period ends and a PromoSlot reviewer has verified the quantity actually delivered. It never settles incrementally while the campaign is still running.
- The payout is the verified quantity, rounded down to the nearest whole priced unit, at the agreed rate, capped at the funded budget for that portion. Any part of that budget left over, along with the buyer protection fee that was charged on that leftover part, is refunded to the Business Owner in the same settlement. See our Refund Policy, Section 4A, for how this refund is calculated.
8B. Proof-update grace period
- When reviewing a per-view or per-impression deal, if a PromoSlot reviewer believes the evidence submitted so far may understate what was actually delivered, they may open a 24-hour window inviting the Platform Owner to submit further evidence, rather than resolving the deal on a suspicion the Platform Owner never had a chance to address.
- Both the Platform Owner and the Business Owner are notified when this happens, in-app and by email. If the Platform Owner has provided a phone number on their account, PromoSlot may also try to reach them by phone given the time-sensitive nature of the window. This is optional on the Platform Owner's part and never required.
- If further evidence is submitted before the window closes, the reviewer considers it as part of the same review, in place of resolving the deal on the earlier evidence alone.
- If nothing further is submitted before the window closes, the deal is settled using only the evidence formally submitted through the platform up to that point. PromoSlot never bases a payout decision on evidence a reviewer became aware of some other way but that was never actually submitted through the deal record. See Section 8A and our Refund Policy, Section 4A, for how the resulting split is calculated.
- Opening this window is a routine part of reviewing a claimed quantity, not an accusation, and does not by itself affect a Platform Owner's account standing. See Section 11 on the distinction between a genuine mistake and a breach of these terms.
9. Cancellations
- A deal may be cancelled by either party before the deal is funded, at no cost to either side, since no funds have moved.
- Cancellation after the deal has been funded is handled under our Refund Policy. See that document for how funds are treated in that case.
10. Disputes
If a Business Owner and Platform Owner disagree about whether a deliverable meets the agreed terms, that disagreement is resolved through the verification step in Section 8: a PromoSlot reviewer examines the submitted evidence against the agreed terms and decides whether to release the funds or refund the Business Owner. This decision is final within the platform. There is currently no separate appeal step beyond the reviewer's decision.
Separately, if a Business Owner disputes a charge directly with their card issuer (a chargeback) rather than through PromoSlot, that follows Stripe's own dispute process, and the deal is flagged and tracked internally until it's resolved.
11. Prohibited conduct
You agree not to:
- Provide false or misleading information in a listing, campaign, or deliverable.
- Attempt to complete a deal or move payment outside of PromoSlot to avoid fees.
- Use the platform for unlawful, fraudulent, or infringing purposes.
- Harass, abuse, or attempt to defraud other users.
- Interfere with the platform's security or normal operation.
- Post or send content that is illegal, that infringes someone else's intellectual property or other rights, or that sexually exploits or endangers anyone. This applies without exception to any content involving a minor.
- Post or send content that is defamatory, hateful, or intended to harass, threaten, or intimidate another person.
- Impersonate another person or business, or misrepresent your identity, your audience, or your authority to act on behalf of a business.
Content that appears to show the sexual abuse or exploitation of a child is treated as a standing exception to every process elsewhere in these terms: it is removed on sight, the responsible account is banned immediately without the review steps described in Section 14, and PromoSlot reports it to the Internet Watch Foundation and/or the National Crime Agency as appropriate, regardless of anything else in this document.
Sharing, or threatening to share, an intimate image of someone without their consent, including an AI-generated or "deepfake" image that appears to show a real person, is a criminal offence under the Sexual Offences Act 2003 and is never permitted on PromoSlot, regardless of context. This is treated the same way as the CSAM exception above: the content is removed on sight and the responsible account is banned immediately. PromoSlot aims to act on a valid report of this kind within 48 hours, and will point the person affected to StopNCII.org and the Revenge Porn Helpline (0345 6000 459, revengepornhelpline.org.uk), independent of anything else in this document. This is a serious criminal matter and you should also consider reporting it to the police.
Submitting delivery evidence that later turns out to be genuinely mistaken or incomplete is not, by itself, a breach of this section. The review process, including the proof-update grace period described in Section 8B, exists precisely to catch and correct that kind of honest gap without treating it as misconduct. Deliberately fabricating, altering, or submitting misleading evidence is a breach of this section regardless of the outcome of the specific deal, and may lead to account suspension or termination under Section 14, separately from how the deal itself is resolved.
11A. Reporting content or a user
If you believe a listing, campaign, message, or piece of delivered content breaches these terms or is illegal, email support@usepromoslot.com describing what you saw and where. A person reviews every report and we aim to respond within 2 business days. Depending on what we find, PromoSlot may remove the content, warn the account responsible, or suspend or terminate it under Section 14.
PromoSlot's Director, Robert McKenzie, is the person accountable for handling illegal-content reports and complaints under this section.
11B. Advertising disclosure
Content posted under a PromoSlot deal is paid promotion. UK advertising law (the CAP Code, enforced by the Advertising Standards Authority, alongside the Competition and Markets Authority's rules on unfair commercial practices) requires it to be disclosed clearly and immediately, for example with "#ad", "Advert", or "Paid partnership with [Business]" at the very start of the post or overlaid on video content, not buried in a list of hashtags or hidden text.
The Platform Owner posting the content is responsible for disclosing it correctly. Under current UK guidance, the Business Owner paying for it shares that responsibility even where the content was created entirely by the Platform Owner, and must not ask a Platform Owner to hide, minimise, or omit a required disclosure: doing so is itself a breach of Section 11.
PromoSlot does not pre-approve or monitor individual posts for advertising-disclosure compliance, and is not liable for a user's failure to disclose. A pattern of non-disclosure reported to PromoSlot may result in account action under Section 14.
12. Content, messaging and intellectual property
You retain ownership of content you submit (listings, campaigns, messages, deliverables), but grant PromoSlot a licence to display and process it as needed to operate the platform. You're responsible for ensuring you have rights to any content you upload or promote.
If you believe content on PromoSlot infringes your copyright or other intellectual property rights, email support@usepromoslot.com with: a description of the work you believe is infringed, the specific listing, campaign, message or file you're reporting and where it appears on the platform, your contact details, and a statement that you believe in good faith the use is unauthorised. We review each notice and may remove or restrict access to the reported content while we do. If you're the one who posted the content and believe it was removed in error, you can reply to the same notice explaining why, and PromoSlot decides whether to reinstate it.
13. Limitation of liability
To the maximum extent permitted by law, PromoSlot's liability to you is limited to the fees you've paid PromoSlot in the 12 months before the claim arose. PromoSlot is not liable for the quality, legality, or outcome of the promotional work itself, which remains the responsibility of the Business Owner and Platform Owner.
13A. Indemnification
You agree to cover PromoSlot's reasonable costs, and to hold PromoSlot harmless, if a third party brings a claim against PromoSlot arising from your breach of these terms, content you've posted or sent through the platform, or your use of the platform in a way that violates someone else's rights or the law. This doesn't apply to the extent the claim is caused by PromoSlot's own breach of these terms or negligence.
13B. Your statutory rights
Nothing in these terms removes or limits any right you have under UK law that can't be excluded by contract, including your rights as a consumer under the Consumer Rights Act 2015. Where anything in these terms conflicts with those rights, your statutory rights take priority.
14. Account suspension and termination
PromoSlot may suspend or terminate an account for violating these terms, suspected fraud, or legal requirement. You may also deactivate your account instead of deleting it: a reversible pause that hides your profile and listings and signs you out, with everything restored automatically the next time you log back in. Deleting your account is permanent: it immediately anonymises your profile and revokes access. See our Privacy Policy for exactly what that does and doesn't remove. Deletion is not currently blocked by a deal still in progress; a deal that's already funded continues to completion as described in Section 9, and any payout you're owed is still paid out, even after your profile itself has been anonymised.
15. Governing law
These terms are governed by the laws of Scotland (matching PromoSlot Ltd's registered jurisdiction), and disputes are subject to the exclusive jurisdiction of the Scottish courts.
16. Changes to these terms
We may update these terms from time to time. Material changes will be notified via email and an in-app notification before taking effect.
16A. General provisions
- Severability. If any part of these terms is found unenforceable, the rest continues to apply, and the unenforceable part is limited only as much as necessary to make it valid.
- No waiver. If PromoSlot doesn't enforce a provision on one occasion, that doesn't mean we've given up the right to enforce it later.
- Force majeure. Neither party is responsible for a delay or failure caused by something genuinely outside their control, for example an outage at Stripe, our hosting provider, or a similar event.
- Assignment. You can't transfer your rights or obligations under these terms to someone else without our agreement. PromoSlot may transfer them as part of a merger, sale, or reorganisation of the business.
- Entire agreement. These terms, together with the Privacy Policy and Refund Policy, are the whole agreement between you and PromoSlot regarding your use of the platform, and replace any earlier version.

How we handle your data.
Last updated 4 September 2026. This explains how PromoSlot collects, uses and protects your personal data.
1. Who this applies to
This policy explains how PromoSlot (PromoSlot Ltd, a company registered in Scotland under company number SC899931, registered office 8B Drumsheugh Gardens, Edinburgh, EH3 7QJ, "we," "us") collects, uses, and protects personal data when you use usepromoslot.com, whether as a Business Owner, Platform Owner, or visitor. That registered office is due to change later in 2026; this page will be updated when it does.
2. What we collect
- Account data: name, email address, password (hashed, never stored in plain text), account type (business/platform owner).
- Profile data: business or platform profile information you choose to add, including images you upload.
- Deal data: listings, campaigns, applications, messages between users, deliverables and proof-of-delivery files submitted.
- Payment data: handled directly by Stripe. PromoSlot does not receive or store full card numbers. We retain records of transaction amounts, fees, and status for accounting and dispute purposes.
- Verification data (optional): if you choose to get your business or platform verified, your business/legal name and identity documents are collected and checked directly by Stripe, not by PromoSlot. We only ever receive a pass/fail result and the verified legal name back, never the underlying document. If you submit platform-ownership evidence (e.g. analytics screenshots or a screen recording), PromoSlot stores it only until a reviewer makes a decision, then deletes it immediately, whether approved or rejected. This information is never shown publicly: only the resulting Verified badge, if granted, is.
- Technical data: IP address, browser/device information, and usage data collected automatically for security and analytics.
- Communications: if you contact support, we keep a record of that correspondence.
3. How we use it
We use your data to:
- Create and manage your account.
- Operate the marketplace: matching listings/campaigns, processing deals, facilitating messaging.
- Process payments and hold funds pending verification via Stripe.
- Send transactional emails (welcome, notifications, deal updates) via our email provider.
- Investigate and resolve disputes between users.
- Maintain platform security and prevent fraud.
- Meet legal and accounting obligations.
PromoSlot currently sends transactional emails only (account, verification, deal, and support-related, as listed above). There is no marketing or newsletter list today. If that changes, this section and a separate consent mechanism will both be added at the same time.
4. Legal basis for processing
- Performance of a contract: creating and managing your account, operating the marketplace, processing deals and messaging, and paying out funds once verified. All necessary to provide the service you signed up for.
- Legal obligation: accounting, tax, and financial recordkeeping (see Section 7); responding to law enforcement or regulatory requests.
- Legitimate interests: preventing fraud and abuse, maintaining platform security, resolving disputes between users, and retaining a minimal record of banned accounts (just the email address and reason) to stop a ban being evaded by deleting the account and re-registering. Balanced against your rights by keeping this record as narrow as possible and only for as long as the ban stands.
- Consent: not currently used for anything beyond the strictly necessary cookies in Section 9, since there's no marketing processing today.
5. Who we share data with
We share data with the third parties that help us operate PromoSlot, each only with what's needed for their function:
- Stripe: payment processing, holding funds pending verification, and (if you opt in) identity/business verification checks. Stripe collects and checks these documents directly and only reports a pass/fail result back to us.
- Resend: transactional email delivery.
- Cloudflare R2: file storage (proof-of-delivery uploads, images).
- Render and Neon: application hosting and database, hosted in the EU (Ireland / Frankfurt).
We don't sell personal data. We may disclose data if required by law or to protect PromoSlot's or users' rights and safety.
6. Where your data is stored
PromoSlot's infrastructure is hosted in the EU (Ireland for the application, Frankfurt for the database). Any transfers outside the EU/UK (e.g. via a sub-processor) are made under appropriate safeguards.
7. How long we keep it
- Account data: kept while your account is active, and for a period after closure for legal/accounting reasons (financial records are kept for 6 years, the standard UK requirement).
- Deal and payment records: retained as required for accounting, tax, and dispute-resolution purposes.
- You can delete your account yourself at any time, from My Account, or ask us to do it for you. This anonymises your account immediately (email, name, bio, avatar and any uploaded files are permanently removed, and every active login session is revoked) rather than removing the row outright. Deal, review and message records that reference it stay intact for the other party and for our accounting/legal obligations, exactly as described above, but they're no longer linked to anything identifying you.
- You can also deactivate your account instead: a reversible pause, not a deletion. Your data isn't touched at all; your profile and listings are just hidden until you log back in, which un-hides everything automatically.
- If your account is banned, we keep a minimal record (your email address, the date, and the reason) even if the account is later deleted, so the same email can't simply be used to sign up again. This record is removed if the ban is lifted.
- Verification evidence (platform-ownership recordings/screenshots) is deleted the moment a reviewer makes a decision, whether approved or rejected: it is never retained afterward. Identity documents for the optional Stripe-based check are never held by PromoSlot at all; only the resulting verified/not-verified status and your verified legal name are kept.
7A. Security
We use reasonable technical and organisational measures to protect your data, including encrypting data in transit, hashing passwords (never stored in plain text), and restricting access to user data internally to what someone's role actually requires. No method of storing or transmitting data online is completely secure, and we can't guarantee absolute security, but we take this seriously and this section is reviewed as the platform grows.
8. Your rights
Depending on your location, you may have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Request deletion of your data (subject to legal retention requirements). See Section 7; this is also self-service from your account settings.
- Object to or restrict certain processing.
- Request a copy of your data in a portable format.
- Withdraw consent where processing is based on consent.
We won't treat you differently, or make the service worse for you, because you've exercised any of these rights.
To exercise these rights, contact support@usepromoslot.com. If you're not satisfied with our response, you can complain to the UK's Information Commissioner's Office (ICO) at ico.org.uk.
9. Cookies
PromoSlot currently uses exactly two cookies, both strictly necessary to make the service work and neither used for tracking, analytics, or advertising:
- ps_session: keeps you signed in. Expires after 30 days, or immediately on logout or account deletion.
- ps_csrf: a security token that confirms a request actually came from this site, not a forged one from elsewhere.
Because both are strictly necessary, UK/EU cookie law doesn't require a consent banner for them. If analytics or marketing cookies are added later, this section and a consent banner will both be added at the same time.
10. Children
PromoSlot is not intended for anyone under 18, and we do not knowingly allow anyone under 18 to create an account, including with a parent or guardian's permission. If we learn that an account belongs to someone under 18, we terminate it and delete their data, in the same way described in Section 7.

What happens to funds when a deal doesn't complete.

1. Overview
A Business Owner's payment is held by PromoSlot pending verification until the agreed deliverable is submitted and confirmed, at which point it's released to the Platform Owner (minus PromoSlot's fee). This policy explains what happens to funds when a deal doesn't complete as planned.
2. Cancelled before funding
If a deal is cancelled before it's funded, no payment has been taken, so there's nothing to refund. The deal is marked "Cancelled" and remains visible in both parties' deal history.
3. Cancelled after funding, before delivery
If the deal has been funded (funds held pending verification) and is then cancelled, whether by mutual agreement or because the underlying listing/campaign is removed, the Business Owner is entitled to a full refund of the amount paid, including the buyer protection fee. PromoSlot does not retain any fee on a refunded deal.
This refund is reviewed and processed by our team rather than issued automatically. Contact support@usepromoslot.com with your deal reference to request it (see Section 6).
4. Disputed deliverables
If a Business Owner believes a submitted deliverable doesn't meet the agreed terms, they can raise this before funds are released. PromoSlot reviews the submitted evidence against the agreed deliverables and either:
- Releases the funds to the Platform Owner in full, if the deliverable meets the agreed terms, or
- Refunds the Business Owner in full, if it clearly wasn't provided.
For a fixed-price deal, there is no partial release or partial refund: every deal resolves as a full payout or a full refund, decided by a PromoSlot reviewer looking at the evidence against the agreed terms. A per-view or per-impression deal can resolve partially; see Section 4A.
4A. Per-view and per-impression settlements
A per-view or per-impression deal is funded differently to a fixed-price one, and its refund works differently too. See the Terms of Service, Section 8A, for the full mechanics. In short:
- The full maximum budget for the per-unit portion is charged and held at funding, alongside any fixed floor agreed on top.
- It settles once, after the agreed campaign period ends and a PromoSlot reviewer has verified the quantity actually delivered, not incrementally while the campaign runs.
- The Platform Owner is paid for the verified quantity, rounded down to the nearest whole priced unit, at the agreed rate, up to the funded budget.
- Whatever part of that budget wasn't earned is refunded to the Business Owner automatically as part of the same settlement, together with the buyer protection fee that was charged on that unused part. See Section 5.
- If a reviewer opens a 24-hour proof-update grace period before finalizing the quantity (Terms of Service, Section 8B), settlement, and any resulting refund, waits until that window closes, either because the Platform Owner added more evidence or because the 24 hours passed.
4B. Affiliate Program pool settlements
An Affiliate Program pool works on the same "unused budget comes back" principle as a per-view/per-impression pool (Section 4A), but on its own clock, tied to the campaign rather than to individual deliverable review. See the Terms of Service, Section 6A, for the full mechanics. In short:
- The full pool budget is charged and held at funding, alongside the funding fee.
- The pool settles once, after the agreed campaign period ends and any holding period on the program's most recent tracked sale has passed. A PromoSlot admin triggers this settlement; it isn't automatic on a fixed clock, since it depends on real sales continuing to be tracked right up to the campaign's end.
- Platform Owners are paid their earned commission on cleared, tracked sales, up to the funded budget.
- Whatever part of the budget wasn't paid out, including the entire pool if no Platform Owner ever joined the program or no sale was ever tracked, is refunded to the Business Owner as part of the same settlement, together with the funding fee that was charged on that unused part.
- If a Business Owner refunds or cancels an order with the buyer, the Platform Owner's full commission on that sale is reversed, even where only part of the order was refunded. Commission is not reduced in proportion to the refunded amount.
5. Fees on refunded deals and pools
PromoSlot does not keep any fee on a refunded deal: the Business Owner is refunded the full amount charged, including the buyer protection fee, matching Section 6 of the Terms of Service. The same principle applies to the unused portion of a per-view/per-impression pool under Section 4A and an Affiliate Program pool under Section 4B: the fee charged on the part that wasn't earned is refunded along with it, in proportion, and in full if none of it was earned. PromoSlot only keeps its fee on the part of a pool that was actually paid out.
6. How to request a refund or raise a dispute
There's no separate "raise a dispute" button today: a disagreement over whether a deliverable meets the agreed terms is handled through the verification step itself (a PromoSlot reviewer checks submitted evidence against the agreed terms before releasing funds, per Section 4). A genuine card-issuer chargeback (raised with your bank, not through PromoSlot) is tracked separately and automatically. For anything else, including asking for a refund on a cancelled, funded deal per Section 3, contact support@usepromoslot.com with the deal reference.
7. Timeframes
Refund requests are reviewed within 5 business days of being raised. Once a refund is approved, Stripe typically returns the funds to your original payment method within 5–10 business days, depending on your bank or card issuer.
A per-view or per-impression deal's refund (Section 4A) doesn't run on this same clock. It's issued automatically as part of settlement once the campaign period ends and review completes, rather than something you request. If a proof-update grace period is open on the deal (Terms of Service, Section 8B), settlement and any refund wait for that 24-hour window to close first.
An Affiliate Program pool's refund (Section 4B) also doesn't run on this same clock. It's issued as part of settlement once the campaign period and any holding period end, rather than something you request, though a PromoSlot admin triggers that settlement rather than it firing on a fixed timer.
